Weekly Classes - Code of Conduct, Policies & Liability Waiver
At Sensory Stars, the safety, well-being, and enjoyment of every child and caregiver is our highest priority. Our classes are designed to provide a welcoming, inclusive, and supportive environment where children can explore, create, and learn through sensory play.
By registering for and attending Sensory Stars classes, you agree to the following policies:
1. Respect for Others
We ask all children and caregivers to help create a positive and respectful environment.
Please treat all children, caregivers, instructors, and other families with kindness and respect.
Every child develops and participates at their own pace. We encourage exploration and confidence without comparison.
Bullying, aggressive behaviour, discrimination, or inappropriate language will not be tolerated.
Caregivers are encouraged to support their child’s social interactions and help guide safe and respectful play.
2. Caregiver Supervision & Responsibility
A parent or caregiver must remain present and actively supervise their child at all times during the session.
Sensory Stars instructors facilitate activities; however, caregivers remain responsible for their child’s safety, behaviour, and participation.
Children should not be left unattended at sensory stations, activity areas, or anywhere within the program space.
Caregivers are responsible for deciding which activities are appropriate for their child based on their child’s age, development, comfort level, and abilities.
3. Infant Sensory Classes (Birth–12 Months)
Our infant classes are designed specifically for babies from birth to 12 months (or until confidently walking) and their caregivers.
Activities are focused on early sensory exploration, movement, connection, and developmentally appropriate experiences.
Babies participate at their own pace. Watching, observing, touching, moving, and interacting are all forms of participation.
Some sessions may include gentle messy play experiences. Infant sensory activities may include minimal exposure to materials such as water or other child-friendly sensory elements.
Caregivers should always remain within arm’s reach of their baby and supervise all interactions with materials.
Please inform the instructor if your baby has any sensitivities, allergies, or developmental considerations before participating.
4. Toddler Sensory Classes
Our toddler classes are designed for children who are ready for more independent exploration and hands-on sensory experiences.
Children are encouraged to explore through pouring, scooping, mixing, creating, and imaginative play.
Sensory materials are provided for exploration and are not intended to be thrown, removed from the activity space, or intentionally damaged.
Caregivers are encouraged to support their child while allowing them opportunities to explore independently.
5. Safe Play & Sensory Materials
Sensory Stars carefully selects materials that are appropriate for young children and suitable for supervised play.
Materials are intended for exploration and play only and should not be intentionally consumed.
Caregivers are responsible for preventing children from placing unsafe amounts of materials in their mouths.
Please notify an instructor immediately if you notice damaged equipment, unsafe materials, or a safety concern.
6. Health & Hygiene
To help protect our community:
Please stay home if your child or anyone attending with your family is experiencing symptoms of illness or a contagious condition.
Handwashing or sanitizing before and after play is encouraged.
Please notify Sensory Stars of any allergies, medical conditions, developmental needs, or sensory sensitivities that may affect your child’s participation.
Sensory Stars uses a variety of materials and cannot guarantee an allergen-free environment.
7. Messy Play & Clothing
Sensory play can sometimes get messy — and that is part of the experience!
Some activities may include materials such as water, paint, foam, or other sensory elements.
We use child-friendly materials whenever possible; however, clothing and personal belongings may become wet, stained, or messy.
We recommend dressing your child in comfortable play clothes that can get messy.
For infant classes, messy play exposure is generally minimal and may include simple sensory experiences such as water exploration.
Sensory Stars is not responsible for damage to clothing, footwear, strollers, or personal belongings.
8. Photography & Privacy
Photos and videos may occasionally be taken during sessions for promotional purposes only with caregiver consent.
Caregivers may photograph or record their own child; however, please respect the privacy of other families and avoid capturing other children without permission.
If you prefer your child not to appear in photographs, please indicate this during registration.
9. Feedback & Concerns
We value your feedback and want every family to have a positive experience.
If you have questions, concerns, or suggestions, please speak with the instructor during or after your session.
We are committed to working with families to create a welcoming environment for everyone.
10. Refund & Cancellation Policy
Cancellations made at least 24 hours before the start of a class are eligible for a refund or credit.
Cancellations made less than 24 hours before class, missed classes, and no-shows are non-refundable.
Refunds are not provided for missed classes due to illness, vacations, scheduling conflicts, or personal circumstances.
If your child is unable to attend a class, please contact Sensory Stars. While we cannot guarantee make-up sessions, we will do our best to offer options when possible.
11. Class Cancellation Policy
Sensory Stars reserves the right to cancel a class due to:
Low enrollment
Instructor illness or emergency
Unsafe weather conditions
Venue-related issues
Circumstances outside of our control
If Sensory Stars cancels a class, families will be contacted and offered:
A transfer to another available class, or
A refund or credit for the cancelled session
Liability Waiver & Assumption of Risk
By registering for Sensory Stars classes, I acknowledge that participation involves sensory exploration, movement, and interaction with play materials.
I understand that while Sensory Stars takes reasonable precautions to provide a safe environment, participation in children’s activities involves inherent risks, including but not limited to falls, minor injuries, allergic reactions, and unexpected incidents.
I agree that:
I am responsible for supervising my child at all times.
I have informed Sensory Stars of any allergies, medical conditions, developmental needs, or other information relevant to my child’s participation.
I will make decisions regarding my child’s participation based on their individual needs and comfort level.
I voluntarily assume all risks associated with my child’s participation.
I release and hold harmless Sensory Stars, its owner, instructors, assistants, volunteers, and host locations from any claims, injuries, damages, losses, or expenses arising from participation, except where such liability cannot legally be excluded.
I understand that sensory play may involve messy materials and accept responsibility for my child’s clothing and personal belongings.
In the event of an emergency, I authorize Sensory Stars staff to seek emergency medical assistance if necessary. Any associated medical costs remain the responsibility of the parent/guardian.
By completing registration, I confirm that I have read, understood, and agree to the Sensory Stars Code of Conduct, Policies, and Liability Waiver.
Sensory Stars Birthday Party Booking Terms & Conditions
These terms apply to all Sensory Stars birthday party bookings, including the Staffed Sensory Birthday Party and the Sensory Birthday Party Kit Rental.
1. Booking & Payment
A $50 non-refundable deposit is required to secure your party date.
Your booking is confirmed once the deposit has been received.
The remaining balance is due 7 days before the party date.
If the remaining balance is not received by the due date, Sensory Stars reserves the right to cancel the booking and retain the deposit.
Any applicable additional child, travel, delivery, or custom-theme fees will be added to the total booking price.
2. Guest Count & Additional Children
Party packages include the number of children stated in the package description.
Additional children may be added for the applicable fee.
Final guest numbers must be provided at least 5 days before the party.
Additional materials or sensory activities may be prepared based on the final number of children.
3. Adult Supervision
Sensory Stars provides and/or facilitates sensory activities but does not provide general childcare or babysitting services.
A parent, guardian, or responsible adult must remain present and supervise children throughout the party.
Parents/caregivers are responsible for determining whether an activity is appropriate for their child’s age, developmental level, abilities, and individual needs.
Children must use all sensory materials and equipment under appropriate adult supervision.
4. Allergies, Sensitivities & Special Considerations
The booking parent/guardian must inform Sensory Stars before the party of any known:
Food or other allergies
Sensitivities
Medical conditions that may affect participation
Developmental or accessibility needs
Other concerns that may affect a child’s participation
Sensory Stars takes reasonable care when selecting and preparing materials; however, we cannot guarantee that sensory materials are completely free from allergens or cross-contamination.
Parents/caregivers are responsible for deciding whether their child should participate in a particular activity.
5. Safety & Sensory Play
Sensory play may involve materials that can create messes, spills, slips, or other potential risks.
Parents/caregivers are responsible for supervising children and ensuring that materials are used appropriately.
Sensory materials are intended for supervised play and must not be eaten or placed in a child’s mouth.
If a child is not able to safely participate in an activity, the parent/caregiver is responsible for removing the child from that activity.
6. Liability & Responsibility
Sensory Stars takes reasonable care in preparing and providing sensory activities and uses materials selected with young children in mind.
However, sensory play has inherent risks, which may include spills, messes, allergic reactions, choking hazards, slips, trips, falls, or other injuries.
By booking a Sensory Stars birthday party, the booking parent/guardian acknowledges these risks and agrees that:
Children will be appropriately supervised by their parent, guardian, or caregiver.
Sensory Stars should be informed of relevant allergies, sensitivities, medical conditions, or special considerations.
Materials and equipment will be used only as intended and under adult supervision.
The parent/guardian is responsible for determining whether participation is appropriate for their child.
To the extent permitted by applicable law, the booking parent/guardian agrees to release and hold harmless Sensory Stars, its owner, staff, and facilitators from claims, losses, or damages arising from participation in the sensory activities, except where caused by the negligence or wilful misconduct of Sensory Stars or its staff.
Nothing in these terms is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.
7. Cancellation & Rescheduling
The $50 deposit is non-refundable.
If the party is cancelled more than 7 days before the event, any payments made beyond the deposit will be refunded.
Cancellations made 7 days or less before the event are non-refundable.
Requests to reschedule must be made at least 5 days before the party and are subject to availability.
If Sensory Stars must cancel the booking due to circumstances beyond our control, a full refund will be provided for payments received.
Staffed Sensory Birthday Party — Additional Terms
The Staffed Sensory Birthday Party is a $150 service where Sensory Stars comes to your party location and provides the sensory activities.
The package includes the services and materials listed in the package description.
Venue Requirements
The customer is responsible for providing:
A clean and safe space suitable for young children
Adequate space for sensory activities
Access to the venue at the agreed setup time
Any required permission to use the venue for the party
Sensory Stars is not responsible for conditions, hazards, or damage caused by the venue or other guests.
Setup & Cleanup
Sensory Stars will set up the included sensory activities before the party and clean up the Sensory Stars materials and activity area after the party.
The customer remains responsible for general party cleanup, food, decorations, gifts, and other items not provided by Sensory Stars.
Travel Fee
A travel fee may apply when the party location is more than 15 km from the Sensory Stars service area. Any applicable travel fee will be confirmed before booking.
Outdoor Parties & Weather
For outdoor parties, the customer is responsible for providing a safe and suitable space.
If weather conditions make an outdoor party unsafe or unsuitable, Sensory Stars may recommend moving the activities indoors or rescheduling, subject to availability.
Sensory Birthday Party Kit — Rental & Pick-Up Policy
The Sensory Birthday Party Kit is a DIY rental. Sensory Stars provides the prepared sensory materials and reusable equipment, while the customer is responsible for hosting and supervising the party.
1. Pick-Up
The kit will be ready for pickup at the agreed date and time.
Pickup details will be provided after booking.
The customer is responsible for safely transporting the kit.
Sensory trays and reusable items must be kept indoors and protected from extreme temperatures, weather, and damage.
2. 72-Hour Rental Period
The rental period is 72 hours, not 72 hours of sensory play.
The standard rental schedule is:
Pick up: Day before the party
Party: Party day
Return: Day after the party
Exact pickup and return times will be confirmed when your booking is arranged.
Extended rentals may be available for an additional fee and must be arranged in advance.
3. Returning the Kit
Please return all reusable items included with the kit, including:
Sensory trays
Reusable toys and accessories
Tools and scoops
Other reusable materials provided by Sensory Stars
Customers do not need to deep-clean the kit.
Please simply remove obvious food, playdough, or other debris before returning it.
Please do not throw away or dispose of reusable sensory materials.
4. Lost or Damaged Items
Normal wear from appropriate use is expected.
The customer is responsible for lost, missing, or damaged reusable trays, toys, tools, and accessories.
Replacement charges may apply for items that are lost or damaged beyond normal wear.
If accidental damage occurs, please let Sensory Stars know rather than attempting to repair the item yourself.
5. Late Returns
The kit must be returned at the agreed time.
A $10 late fee per additional day may apply to late returns unless another arrangement has been approved by Sensory Stars in advance.
Late returns may affect another customer’s booking, so timely returns are important.
6. Delivery
Local delivery may be available for an additional fee, starting at $20, depending on the location.
Delivery arrangements and fees will be confirmed before the booking is finalized.
7. Custom Themes
Custom themes may be available for an additional $20 fee, subject to availability and preparation time.
Custom theme requests should be made before the booking is confirmed.
8. Supervision & Safety
The customer is responsible for supervising all children during use of the rental kit.
Sensory Stars does not provide childcare or supervision with the DIY rental.
Parents/caregivers are responsible for determining whether the sensory activities and materials are appropriate for each child.
Sensory materials must be used only as intended and must be kept away from children’s mouths.
9. Agreement
By booking a Sensory Birthday Party Kit, the customer confirms that they have read, understood, and agreed to these terms and conditions, including the rental, safety, supervision, cancellation, and liability terms.
